Program Status: Implementation

The Incoming Student Questionnaire will help identify first-year students who may benefit from additional support and extended onboarding before the academic year begins.  The goal of the Questionnaire is to help students who may have additional challenges in their path to graduation and align a student's academic major with their professional aspirations. Additionally, the questionnaire will assess if a student has taken all the necessary steps and actions to enroll in classes.  With the Incoming Student Questionnaire, we hope to further support students by assessing and addressing student needs and challenges before classes even begin. 

Accomplished

  • Survey email invitation sent out December 17 and a reminder sent out on December 22nd. Survey closed on January 2nd. A second round of email invitations was released on January 2nd and closed on January 10th.
  • In total, 452 new degree-seeking undergraduate students received the questionnaire invitation and 267 completed the survey with an overall 59% response rate.
  • Of the responses received, there was a 66% response rate from first-year students and a 57% response rate from transfer students. 
  • Created response templates to support students who need assistance completing new student tasks
  • All survey respondents who indicated needing additional support were connected with appropriate staff.
  • Upon completing the survey students received an immediate confirmation email.  All survey respondents were followed up via email, text, and appointment campaigns to ensure they received the requested support and alleviate concerns.
  • Committee reviewed and agreed to the timeline for Spring Term.

In Progress

  • Working with admissions to utilize the applicant portal for questionnaire communication
  • Working with admissions to coordinate pacing of the questionnaire to ensure alignment with admissions and orientation efforts and communication.
  • Considering utilizing Slate to send out survey in future iterations
  • Continuing to review workflow to understand who will contact students and when
  • Creating more response templates for advisors
  • Coordinating timing of outreach. Team will continue to review the escalation matrix and review/coordinate responses
  • Further discussion to track the effectiveness of outreach is ongoing.
  • Continue to revise processes for Fall term questionnaire rollout.
