Then our Temporary Administrative Program Assistant position might be perfect for you!
This position is located in downtown Salem, Oregon at the Child Welfare Partnership Training Center. The position will be primarily working onsite to utilize office equipment, materials and supplies but does offer a flexible remote work component until in-person training for State employees is resumed. A hybrid remote, in-person schedule will continue to be available after in-person training resumes. Occasional evening work or travel to meet project deliverables. The Child Welfare Partnership is part of the Center for Improvement of Child & Family Services within the School of Social Work.
This temporary position works on our administrative team to provide general training support to trainers and on training our program provides to new Child Welfare Caseworkers. Administrative staff also collaborate and work closely with our I.T. staff and work on a variety of tasks, projects and have various responsibilities related to logistics of training, scheduling and delivery of services, and collaborates with stakeholders and service providers to ensure and maintain the quality and fidelity of training provided. These duties include but are not limited to:
- Set-up and logistics of training rooms including classroom layouts and breakout rooms
- Tracking attendance and checking in trainees for classroom training
- Tracking and scheduling delivery of services including supply orders, room rentals and external vendors
- Creates manuals, process guides and instructions for staff in collaboration with Information Technology Consultants
- Accounts receivables/payables and Purchase Card use and maintenance
- Administering PSI and PSC documents to vendors using eSignature
- Archiving and record keeping for training materials
- Assisting with updating training materials and supplemental handouts
- Coordinates with external presenters and panelists contributing to training
- Copying, printing and binding and shipping training materials
- Data entry and database management
- Explaining PSU policies and procedures to vendors around PaymentWorks and payment timelines
- Designing and producing flyers advertising and promoting training
- Lamination of posters, handouts and other classroom materials when needed
- Office supply ordering and monitoring inventory
- Routinely handle objects weighing up to 25 lbs. and an on occasion may be expected to lift objects weighing up to 50 lbs.
- Utilizing Adobe Creative Cloud and applications such as Photoshop, InDesign, Illustrator and more
Minimum Qualifications
Three years of office experience which included two years at full performance level and experience generating documents; AND
Lead work responsibility or coordination of office procedures.
Preferred Qualifications
Two years of experience using Microsoft Office Suite including Word, Excel, PowerPoint
1 year of experience using Adobe Creative Cloud Suite including Photoshop, InDesign, Illustrator

- Work Days/Hours: Days and hours are flexible and will vary with the stage of the project. The position will usually require 10-15 hours per week, but may range from zero to 30 hours in any single week. The position will average to less than 19.5 hours per week over the course of any fiscal year.
Total Compensation Range & Benefits Statement: This is a part-time, non-benefits eligible position. Hourly pay rate is $18.11 to $19.71 per hour depending on experience.
