OIT is pleased to announce that Google is now providing access to its Generative AI products, Gemini and NotebookLM, with additional data and privacy protections for education customers. Beginning in January 2025, PSU faculty, staff, and students will have access to the baseline version of Gemini and NotebookLM. This means that if you are logged into your PSU account, Google will not use the data and documents entered into these services to train the Gemini's language model or for human review. By comparison, most free versions of Generative AI tools state that your data may be used for this purpose, which means that your information may not remain private. Departments will also have the option to purchase optional add-ons that provide additional functionality for faculty and staff.
Although Generative AI tools create new opportunities, they also introduce new challenges and risks. Faculty, staff, and students should review the information on the Artificial Intelligence at Portland State University and Generative AI Resources pages before utilizing these services to help ensure responsible use of Generative AI, that adheres to PSU’s policies and guidelines in this space.
We are excited to bring these new technology services to campus to help support PSU’s education and research mission, and to assist in discovering opportunities to save employees time and support their work! Depending on your role with the university, and any add-on licenses that have been purchased, you will have access to different Gemini features and functionality. Please refer to the chart below for important information about the differences.

- The “Gemini for Employees” service includes student employees.
- Gemini for Employees is covered by enterprise-grade data protection as a core service governed by the Google Workspace for Education Terms of Service. NotebookLM and student use of Gemini are not covered by the same terms of service as Gemini for employees and are therefore not suitable for confidential or restricted PSU data.
- File and Google Drive uploads are available for all users in NotebookLM.
- Gemini Education Add-On gets 1,000 uses/month of Google’s most advanced AI model, while Gemini Education Premium Add-On receives unlimited access to the advanced model.
- Technology Coordinators can purchase Gemini Add-Ons for employees in their department through the TC Service Desk.
Getting Started
- Review the Artificial Intelligence at Portland State University and Generative AI Resources pages to better understand PSU policies, guidelines, and best practices as well as resources available to help support responsible use of Generative AI tools.
- Access the baseline version of Gemini and NotebookLM via gemini.google.com and notebooklm.google.com. Be sure to log into your pdx.edu account (noted in the upper right corner of the application) to ensure that information you enter is governed by Google’s additional data protections as described on the Generative AI Resources page.
- If you are a faculty or staff member interested in purchasing a paid add-on, contact your Technology Coordinator.
