Using PSU's Event Management System 

Event Management System (EMS) is PSU’s event scheduling software. The Campus Events & Student Union (CESU) office owns the PSU license for EMS. EMS is used by many different departments across campus to schedule event space and event resources such as catering, audio/visual equipment, etc.

How do I get an EMS account?

Complete the EMS Account Request Form.
 


How do I get EMS installed on my computer?

  1. Go to PSU EMS Cloud Service .
  2. Select Download and Install the EMS Desktop Client.
  3. Save the EMSApplication.exe file to your computer.
  4. If you see a message from your web browser that emswebdeployconfiguration.cfg was blocked, select the option to keep the file.

In Google Chrome:

5. Then run EMSApplication.exe.
6. EMS will install and automatically open. You will have a new EMS desktop shortcut. The current EMS icon should appear:

How do I configure EMS to send email?

  1. Turn on 2-Step-Verification in your PSU Google account

  2. Create a Google app password.

  3. In EMS, select Settings Preferences.

  4. Clear the Use Global Email Settings checkbox.

  5. In the SMTP Email area, set the following:

    1. Mode: Authenticated (Specific)

    2. Serversmtp.gmail.com

    3. User NameYourOdinUsername@pdx.edu (do not use an email alias here)

    4. PasswordYourAppPassword

Select OK.

Troubleshooting

 

EMS Web Deploy configuration URL

If you see a prompt asking for the EMS Web Deploy configuration URL, enter https://pdx.emscloudservice.com/desktop and select OK.

Can’t log into EMS

If you see the EMS User ID and Password screen, you may not be logged into Windows using your Odin account or your EMS user account may not be active. Check that you are logged into Windows as yourself and contact CESU at conferences@pdx.edu to check the status of your EMS account if necessary.

EMS freezes

If EMS appears to freeze when performing a particular action, accessing billing, for example, try the following:

  1. Select Window > Tile Horizontally.
  2. Select Settings > Reset Window Coordinates.
  3. Select Settings > Preferences and select Do Not Save Window Coordinates. Try the operation again.
  4. Look for scroll bars on the right and bottom edges of the main EMS Window. If there are scroll bars, scroll all the way down and all the way right to see if you can find the the missing window.
  5. Perform the action that should bring up the feature (e.g. billing). Press ALT + spacebar and select Move. Use the keyboard arrow keys to try to move the sub-window into the viewable area. Which direction to go is trial and error.

Connection failed error

If you see a connection failed message, you might be using an old EMS shortcut. Verify your EMS shortcut has the current icon (above)  and try again.
