MyEmma Accounts

PSU’s preferred email platform is MyEmma, which is managed by University Communications. More than 100 units within Portland State use the MyEmma platform to send email communications to various audiences including current students, alumni, faculty and staff groups, donors, and the greater community.

University Communications’ role in managing MyEmma includes:

  • Activating and de-activating subaccounts for units at PSU
  • Coordinating with FADM for monthly billing
  • Creating general templates with PSU branding
  • Vendor contract negotiations
  • Enforcing the Mass Email Requirements, Guidelines and Best Practices
  • Providing limited technical support for users
  • Communicating directly with MyEmma technical support

User Roles & Permissions: Each subaccount may have up to 10 users and each must have their own username and password. There are four user levels:

  • Administrator: This is the one point person for your account. They can add/remove users and change user permissions. Can approve mailings for sending.
  • Full: This user has full access to audience, campaigns, automation and insights. Can send mailings.
  • Editor: This user has full access to audience, campaigns and insights. Can create, but not send mailings.
  • Author: Can create, but not send, mailings. No access to audiences.

PSU Pricing: Units will be billed monthly for use of MyEmma. Choose which pricing tier applies to your unit — keep in mind that “sent emails” refers to the number of recipients, not the number of campaigns in one calendar year (e.g., “Welcome to Spring Term” is one campaign sent to 1,400 students = 1,400 sent emails)

Using MyEmma at PSU

Brand Resources:

  • PSU Embolden email templates are available in MyEmma
  • Find photos in NetX (SSO login required)
  • PSU Logos, Colors, Fonts and Style Guide are available on UCOMM’s Tools and Templates page (login required to access)

Troubleshooting Steps:

  1. Search the MyEmma Support Hub for an article that will help solve your problem.
  2. If the support hub does not provide a solution, contact Anna Ruby, Sr. Internal Communications Manager in University Communications. DO NOT directly email tech support at MyEmma. Only certain members of University Communications can receive direct tech support, per the university’s contract with MyEmma.
  3. If necessary, University Communications will elevate your issue to MyEmma tech support on your behalf.

Accessibility Requirements: All of your email campaigns must be compliant with WCAG 2.2 Level AA standards, which are a federally mandated requirement of all public institutions. Here are some PSU-created resources to ensure your emails meet the standards:

Build an Audience: Audiences can be built through your own lists and/or through Cognos, a PSU database. Request access to Cognos

*Please refer to the Mass Email Requirements, Guidelines and Best Practices to see what units at PSU are permitted to send mass emails.
