OnBase Document Management

Service description

PSU uses Hyland OnBase as its enterprise-level software for electronic document storage, conversion of paper forms to digital forms, and business processing via workflows.

OnBase facilitates efficient record sharing across campus in a number of ways:

  • Security: Encryption ensures that outsiders cannot access protected documents and the system keeps a history of all document activity.
  • Access control: Different groups can be assigned different permissions, giving access to specific content only to the people who need it.
  • Sustainability: Electronic data replaces paper records, reducing waste and the need for document storage space.
  • Retrieval: Specific documents can be easily located with the system’s archival and search functions.
  • Retention: Documents are automatically kept for specified amounts of time (or indefinitely) in the system, ensuring adherence to retention policies set by data owners.

Charges and fees

OnBase is generally provided to campus by OIT free of charge. However, some individual workstation or user licenses incur extra charges from our Vendor (Hyland), which OIT passes through to Customers who use them.
