Scanning

OIT labs offer Ricoh 6001 multifunction printers. This article will describe how to use the "Scan" feature on the Ricoh 6001 printers which allows you to scan documents directly to Email, USB drives, or SD cards. Scanning does not deduct from your allocated 500 prints per term.

Prerequisites

You will need either a valid email address, a USB flash drive, or an SD memory card.

Scanning Your Documents

Scan to Email

When you are at the printer with your documents:

  1. Press the Scanner button and place the documents face up on the document feeder or face down on the glass faceplate.
  2. Select Manual Entry and press OK. Up to 25MB can be scanned at a time.
  3. Enter your email address (i.e. YourUserName@pdx.edu) and select OK.
  4. To change document scanning to single or double-sided, select Original Feed Type then 1 Sided Original or 2 Sided Original. Press OK.
  5. To change file format settings, select Send File Type/Name. Available options are TIFF, JPEG, and single-page PDF. Press OK.
  6. Press the Start button.
  7. Scanning is successful when "Processing" flashes in the bottom left corner
  8. A PDF file is sent to your email inbox.

Scan to USB Drive/SD Memory Card

Printers can also scan directly to USB flash drives or SD memory cards. To scan to USB/SD:

  1. Insert your USB Drive or SD Memory Card into the appropriate slot The Device Access light will be green once the media is recognized.
  2. Press the Scanner button and place the documents face up on the document feeder or face down on the glass faceplate.
  3. Select Store File then Store to Memory Device. Press OK.
  4. To change document scanning to single or double-sided, select Original Feed Type then 1 Sided Original or 2 Sided Original. Press OK.
  5. To change file format settings, select Send File Type/Name. Available options are TIFF, JPEG, and single-page PDF. Press OK.
  6. Press the Start button.
  7. Scanning is successful when "Processing" flashes in the bottom left corner
  8. A pop-up window states Writing completed. The memory storage device can be removed safely. Select Exit and remove your device.

I’m only printing. Does scanning slow down my print job?

The multi-function printers are capable of scanning and printing at the same time without impacting output. Scanning does not interfere with or slow down printing. If you are using the scanner, please allow others to access their print jobs.

The scanner says it can't detect the original size of my document.

If you are scanning a unique-sized document and get the error "can't detect original size," the scanner is having issues detecting the original size of your document. Try placing a blank piece of paper behind the document. If you are still experiencing issues, please see a lab attendant for assistance.

Is there a way to preview my scanned document before emailing or saving to my USB drive/SD card?

To get a preview of your document on the scanner, just select the Preview button on the main touch screen menu before beginning to scan. After you have finished scanning, a preview window will appear. If you have scanned multiple documents, you may switch between pages by pressing the Switch button to the right of the preview to navigate amongst the pages. When you have completed your review of the scanned documents, you may either save/send your files or click Cancel.

Can I use the Ricoh printers to make photocopies?

The photocopy function is not available on the lab Ricoh printers. You can print directly from a lab computer or from your laptop via Web Print. You may also scan directly to a @pdx.edu email address or to a USB flash drive or SD card. Copy machines are available in the library and other locations on campus.
