Changes for Email Clients
Author: Michelle Malkasian, Office of Information Technology

There are changes on the way for some users of mail clients (such as Microsoft Outlook, Mozilla Thunderbird, Mac Mail, etc.) at Portland State! The Office of Information Technology (OIT) will be retiring a legacy mail server (mailhost.pdx.edu) in mid-June 2014 and has already begun alerting any users that are still using the mail server.

If you receive an email from OIT about these changes, you will need to choose one of the options below:

  • Use PSU Gmail (mail.pdx.edu) - The best option is to simply use PSU Gmail in a web browser. OIT recommends the web interface over desktop clients and also offers PSU Gmail workshops.

  • Update your mail client settings - You can also update the settings in your mail client to the current outgoing mail server. All the most current settings can be found on the Advanced Email Settings page.

Mozilla Thunderbird

To change the outgoing mail server for your email account in the most recent version of Mozilla Thunderbird, follow the steps below. If you're running an older version or need more information, you can visit the official configuration support page.

  1. Open the Tools menu.
  2. Go to Account Settings > Server Settings > Outgoing Server (SMTP).
  3. Locate the entry for "mailhost.pdx.edu" and delete it.
  4. Click Add and set up a new entry using the "Outgoing mail server" information listed in our Advanced Email Settings or at the bottom of this article.

Mail (aka Mac Mail)

To change the outgoing mail server for your email account in the most recent version of Mail (aka Mac Mail), follow the steps below. If you're running an older version or need more information, you can visit the official configuration support page.

  1. Open the Mail menu.
  2. Go to Preferences > Outgoing Mail Server list.
  3. Locate the entry for "mailhost.pdx.edu" and select the minus button (-) to delete it.
  4. Select the plus button (+) and set up a new entry using our Advanced Email Settings or at the bottom of this article.

Microsoft Outlook

To change the outgoing mail server for your email account in the most recent version of Microsoft Outlook, follow the steps below. If you're running an older version or need more information, you can visit the official configuration support page.

  1. Open the File menu.
  2. Select Account Settings.
  3. Locate your PSU account and select Change.
  4. Within the Server Information section, delete "maihost.pdx.edu", and type in "smtp.gmail.com".
  5. Select the More Settings button.
  6. Go to the Outgoing server tab.
  7. Mark the "My outgoing server (SMTP) requires authentication" checkbox.
  8. Select "Use same settings as my incoming mail server".
  9. Go to the Advanced tab.
  10. Set the Incoming server (IMAP) port to 993.
  11. Set the Outgoing server (SMTP) port to 465.
  12. Choose "SSL" from the encryption type dropdowns for both servers.

If you think you may be using the old mailhost settings on your smartphone, the easiest way to remedy this is to remove the account and re-add it using the instructions at Mobile Device Sync.

If your email client is set up for accounts with other email services outside of PSU (such as Yahoo), the account settings for those accounts may have used "mailhost.pdx.edu" by default. You should send a test message to verify that these accounts continue to work after you've made changes to your PSU mail client.

If you have any questions or concerns about how you may be affected by the changes to the mail server, contact the Helpdesk.
