Summer Conferencing Policies

Check In/Check Out

Check in is 2:00pm. Check-out time is 10:00am unless prior arrangements have been made with the Conference Services Office.

Keys must be left in the room in a noticeable spot (i.e. desk) or returned to the office at the time of check-out if during business hours. Please close the windows and turn off the lights. Prior to leaving, please ensure that personal belongings are not left in the room, and that the door is secured.


Guests will receive one (1) room key, one (1) building entrance fob, and one (1) Rec Center Pass. Please keep your room locked and have your keys with you at all times.

All residence hall keys and fobs are the property of Portland State University and may not be copied or destroyed.

Conference guests must report lost or stolen keys immediately to the Summer Housing Office. Guests will be charged $30 per key and $25 per fob not returned by the date and/or time of departure.


Portland State University is not responsible for mail, packages, or post of any kind before and/or after the Guest’s departure.

The Conferencing office will not notify Guests when their mail has arrived. It is the responsibility of the guest to keep track of their own mail. Post can be picked up in the Conferencing office between the hours of 9am and 9pm.


Guest rooms will be cleaned once per week, and is non-negotiable. This includes a quick cleaning of the sink and toilet in your room/bathroom, and a vacuum, so please keep the floor and beds clear of personal items. The shower and kitchen will not be cleaned during your stay. Linens will be changed twice per week. Please note there is no cleaning staff on the weekends, so please hang up towels so they can be reused.


Portland State University is not liable for accidents and/or lost, damaged, or stolen personal property in guest rooms, public areas, or laundry rooms.

Guests are liable for damages caused to University property, whether deliberate or unintentional. Rooms will be assessed for missing, altered, or damaged furniture or equipment.

Propping open residence hall entrance doors is prohibited.

Conference guests are prohibited from allowing anyone who is not their guest into any residence hall building, and are responsible for reporting suspicious activities to Campus Public Safety at 5-4407 or conference staff.

Lost & Found

Items of significance (ie: passport) found in guest rooms after check out will be given to Campus Public Safety. It will not be the responsibility of the Summer Housing Office to notify guests of lost items after check-out.

Access of Residence Halls and Facilities

There is no storage space available on the Portland State University campus including the residential halls. Conference guests are not allowed on the roofs of residence halls. Nothing is to be thrown, dropped, or spilled outside the windows. The result of such actions could result in fines and evictions.

Conference staff, maintenance staff, or other authorized persons may enter guest’s rooms for the purpose of maintenance, cleaning, inspections, or emergencies.

Damages or theft of University property is prohibited and could result in eviction, fines, and/or official charges brought against the offender.

Due to safety, the following are not allowed in the residence halls:

  • No pets (except for guide dogs) 
  • No personal furniture (i.e. couches, desks, etc.) 
  • No hot plates or any type of open heat source (i.e. toasters) 
  • No portable air conditioning units 
  • No smoking 
  • No candles/incense


Any type of harassment including, but not limited to: verbal or physical harassment because of another person’s sexual orientation, race, nationality, color, gender, age, religion, marital status, disability, veteran status, or other reasons is not tolerated by Portland State University, and could result in the immediate removal from university property.


No pets are allowed in the residence halls. The exception to this is guide dogs.

Alcohol, Drugs and Smoking

Smoking is prohibited in University buildings.

If the Guest is over the age of 21, they may drink alcohol in their room with the door closed. Guests under the age of 21 who purchase or knowingly possess any alcoholic beverages violate state law. In addition, any person who furnishes an alcoholic beverage to a person who is under 21 years of age violates state law. Alcohol is not allowed in common areas. 
Illegal use, possession, or furnishing of controlled substances or drug paraphernalia on University owned property is prohibited. Any controlled substance or drug paraphernalia found will be confiscated and destroyed by Campus Public Safety officers.

Narcotics and dangerous drugs shall be defined in accordance with the statutes of the State of Oregon.


Guests should keep their keys on them at all times, and are responsible for informing the Conferencing Office if they are lost or stolen.

Guests should keep their doors locked at all times.

In case of emergencies call 503-725-4407 to reach Campus Public Safety (CPSO). In the event of a police, fire or medical emergency, call 9-911 immediately.

Destructive Devices

Possession, use, or sale of any incendiary, explosive, firearm, or destructive device is prohibited. At no time will live ammunition of any type be permitted in or on university premises.

Any weapons, including but not limited to, firearms, BB guns, bows and arrows, martial arts weapons, paint guns, and any items that are a reasonable facsimile of such a weapon are prohibited within University Housing.

Any dirk, dagger, ice pick, slingshot, metal knuckles or similar instrument, or a knife with a blade longer than 4 inches, including decorative swords is prohibited. Kitchen knives will be treated as exceptions to this policy when used as food preparation tools.

Fire Safety

In the event of a fire, pull the nearest fire alarm and quickly exit the building.

Do not use elevators and do not re-enter the building until the fire department or campus personnel instruct you to do so. Please familiarize yourself with the location of the nearest fire exit.

Tampering with fire safety equipment (including but not limited to strobes, alarms, sprinkler heads, smoke detectors, exit signs, extinguishers, and sprinkler systems) is prohibited, and could result in a monetary fine.

Hanging items such as ropes or towels from sprinkler heads is prohibited and may result in a fine or damage charges.

Guests must vacate the building when the fire alarm sounds.

Anyone caught unlawfully pulling a fire alarm will be fined in accordance with University Housing policies.


Guests are responsible for the conduct of their visitors. Overnight visitors (i.e. significant others, parents, etc.) are allowed ONLY with the consent of roommates and/or suitemates.

Courtesy for neighbors in the conference community as well as student residents is mandatory and noise will be kept to a minimum at all times. Quiet hours are from 10pm-8am.

Physical abuse or conduct that threatens imminent physical harm or endangers the health or safety of any person, including lewd or indecent conduct or hazing on university property or at university sponsored or supervised activities is prohibited.

Disorderly conduct (including that resulting from drunkenness), unreasonable noise, or behavior that results in unreasonable annoyance is prohibited.

Portland State University reserves the right to remove any guest from University Housing premises, including those found responsible for committing, attempting to commit, or intentionally assisting in the commission of any of the offenses listed in these policies.
